Programs & Events Manager

Experienced, take charge professional with ability to manage administration and logistics in a busy programs and events environment.  Coordination of approximately 20 events per year.  Some of these events are monthly, quarterly, and on an annual basis.  Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work occasional evenings and weekends.  The Programs & Events manager should have a love for special event management, provide outstanding customer service, be an enthusiastic professional, and be able to build relationships with internal and external customers.  Responsible for the planning, organizing, managing, and implementing designated programs and events.

 

Event Planning and Program Production

· Develop and oversee assigned programs and events, including but not limited to: event budgets, sponsorship packages and sales, marketing materials, event preliminary, on-site and post production

· Assist with negotiations for space contracts and book event space; arrange food and beverage, order supplies and audio visual equipment, etc.

· Aggressively gather information on each project to achieve quality event productions

· Conduct research, make site visits, and uncover resources to aid staff in making decisions about program and event possibilities

· Create and revise room layouts for each program and event as needed

· Propose new ideas to improve the event planning and implementation process

· Serve as liaison with vendors on event-related matters

· Assist with managing on-site production and clean-up for events as necessary

· Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, scripts, etc.

· Close out all programs and events as required

 

Event Administration

· Assist with preparing budgets and provide periodic progress reports to Director of Operations and/or President/CEO for each program and event assigned

· Sponsorship Development and Sponsorship Sales to ensure event meets or exceeds budget

· Keep track of event finances including check requests, invoicing, and reporting

· Coordinate site visits and schedule programs and events on the calendars

· Prepare and modify program and event contracts as requested

 

Core Competencies

· Extremely organized, efficient, detail-oriented and successful at meeting deadlines

· Excellent communication skills, including writing, proof reading skills, and speaking

· Ability to manage multiple projects and work assignments from a variety of staff and volunteers

· Excellent interpersonal skills both in person and by phone, with high professionalism

· Ability to accomplish projects with little supervision

· Exceptional customer service ethic and high expectations for quality

· Willingness to learn new skills and adapt to growing/evolving job responsibilities

· At least 3 years’ experience coordinating special events for non-profits

· Proficient using latest version of Microsoft Office (Word, Excel, PowerPoint, Publisher, Outlook)

· Adept at mail merges; email and web searches

 

Physical Requirements

· Must be able to lift 50 1bs

· Valid Driver’s License required with reliable transportation

Chamber Special Events & Programs Internship

Assist the Special Events & Programs team through the development of written materials, support of various Chamber events & contact with current members

 

Duties may include:

-drafting letters, emails, & other documents with provided content for the Chamber’s annual events

-designing invitations, posters, & brochures

-event planning & organization

-set-up, registration, & clean-up on event days

-post-event follow up using Chamber Master Membership Partners, the Chamber’s database software

 

Desired skills & qualifications:

-declared major in Event Management, Communications, Public Relations, Interpersonal Communication, Organizational Communication, Marketing, or Tourism

-detail- oriented

-familiarity and working knowledge of Microsoft Office software

-possess excellent verbal & written communication skills

-able to manage multiple takes simultaneously & work independently

 

Chamber Marketing & Graphic Design Internship

Got a passion for good design? The Chandler Chamber (AKA the 2nd largest chamber of commerce in the state) is looking for an intern to help take our visuals to new heights.

 

What you'll be doing

- Co-designing the Chamber’s monthly electronic magazine

- Designing Chamber print booklets, to be distributed among members

- Creating presentations & rotating ads for internal Chamber events

- Producing graphics for the Chamber’s website

- Developing social media post graphics

- Designing digital event promotional images

- Creating the overall design for print advertisements

- Making print materials for internal Chamber events (e.g. fliers, brochures)

- Designing emails

- Capturing photos at Chamber events

- Improving backlog assets to fit current 2024 guidelines

 

What you have

- A declared major in marketing, graphic design, illustration, or other related field

- 0-2 years professional experience in declared major

- Entry-level experience using Adobe Illustrator, InDesign, & Photoshop

- Familiarity with Scrum agile project management framework

Chamber Public Policy & Government Relations Internship

Familiarizing oneself with the structure, goals, & strategic mission of the Chandler Chamber of Commerce & to be involved in the research, analysis, & implementation of the various government affairs activities the organization is involved in

 

Duties may include:

-Providing advocacy department support and assistance with advocacy events as needed, including the Public Policy seminar series

-Providing research and comparison information regarding local, state and federal legislation

-Providing data to the Chamber about current important business issues and what positions the state and US Chambers have taken on them

-Participating in as many public policy and government affairs activities and meetings as possible to see the process in action. This role will involve substantial interaction with Chamber volunteers and key local, state and federal elected officials

-Assisting the Chamber’s East Valley Chamber of Commerce Alliance which involves working with area business contacts to assist the region in obtaining federal support on projects that have a regional impact.

 

Desired skills and academic qualifications:

-Declared major in Political Science, Government Relations preferred

-Familiarity and working knowledge of Microsoft Word, Outlook, and Excel

-Strong verbal and written communication skills

Chamber Marketing & Copywriting Internship

What you'll be doing

- Producing news columns for the Chamber’s monthly electronic magazine

- Pushing out press releases for key Chamber events & initiatives

- Brainstorming copy for event-specific campaigns

- Writing event descriptions

- Helping develop the Chamber’s blog, to be hosted on our website & promoted on socials

- Writing social media descriptions

- Copywriting emails

- Improving website copy to fit current 2024 guidelines

 

What you have

- A declared major in marketing, media communications, English, journalism, or other related field

Chamber Marketing & Video Editing Internship

Love film & storytelling? The Chandler Chamber (AKA the 2nd largest chamber of commerce in the state) is looking for an intern to help distill our large non-profit into bite-sized videos.

 

What you'll be doing

- Producing & uploading videos to TikTok, YouTube Shorts, & Instagram Reels

- Using the Chamber’s clip library to create evergreen promotional materials

- Independently capturing B-roll of Chandler, AZ

- Capturing videos at Chamber events for post-event highlights

- Assisting with Chamber member interviews

- Brainstorming campaigns

- Helping develop the Chamber’s podcast, to be hosted on YouTube & the Chamber’s website

- Using existing clips & newly-recorded footage to create introductory event speaker videos

- Creating videos for event-specific marketing campaigns

 

What you have

- A declared major in marketing, film production, cinematography, or other related field

- 0-2 years professional experience in declared major

- Entry-level experience using Adobe Premiere Pro & AfterEffects

Chamber Data & Research Internship

The key goals of this internship include familiarizing oneself with the structure, goals, & strategic mission of the Chandler Chamber of Commerce and being involved in the research, analysis, and implementation of the various programs the organization is involved in.

 

Duties may include:

-Assisting in research compilation and drafting of the Chamber's Chandler 100

-Assisting in research compilation and drafting of the Chamber's award-winning legislative document, How We Stand

-Providing advocacy department support and assistance with advocacy events as needed, including the Policy Impact seminar series

-Providing research and comparison information regarding local, state and federal legislation

-Providing data to the Chamber about current important business issues and what positions the state and US Chambers have taken on them

-Participating in public policy and government affairs activities and meetings to see the process in action. This role will involve substantial interaction with Chamber volunteers, local business leaders, and key local, state and federal elected officials
